Introduction
These Terms and Conditions govern the services provided by Botanic Hardscapes (“we”, “us”, “our”) to our customers. By engaging our services, you agree to these terms.

Services
We provide landscaping services across West London including:
- Patio installation
- Driveway installation and cleaning
- Fencing and walling
- Garden transformations
- Garden maintenance
- Victorian tile pathways
The specific scope of your project will be detailed in your written quote.
Quotes
- All quotes are provided in writing following a free site visit.
- Quotes are valid for 30 days from the date of issue, unless otherwise stated.
- Quotes include labour, materials and any costs specified within the document. Anything not explicitly listed is not included.
- Quotes are based on the condition of the site at the time of the visit. If additional work is required due to unforeseen circumstances discovered during the project, this will be communicated and any additional cost agreed in writing before proceeding.
Booking and Confirmation
To confirm a booking, we require:
- Written acceptance of the quote
- Payment of a deposit (see Payment Terms)
We will confirm the project start date in writing once these are received.
Payment Terms
Payment is typically structured as:
- Deposit at booking confirmation
- Stage payment(s) during the project, for larger jobs
- Final balance on completion
The specific payment schedule for your project will be detailed in your written quote.
Payments can be made by bank transfer. Payment details will be provided on your quote and invoice.
Cancellation
- If you cancel before work has begun: any materials already purchased on your behalf are non-refundable. Your deposit may be partially or fully refunded depending on costs already incurred.
- If you cancel during the project: you remain liable for all work completed up to the point of cancellation, plus any materials already purchased or committed to.
- If we cancel: we will refund any payments made for work not yet delivered.
Workmanship Guarantee
We offer a 5-year guarantee on all workmanship from the date of project completion. This covers defects arising from our installation work.
The guarantee does not cover:
- Damage from misuse, accident or improper maintenance
- Normal wear and tear
- Issues caused by changes to the surrounding environment (e.g. ground movement, tree root damage)
- Work not carried out by us
To make a claim under the guarantee, please contact us in writing within the guarantee period.
Materials Warranty
Materials supplied (paving, tiles, fencing, etc.) are covered by their respective manufacturer warranties. We will pass on any relevant manufacturer warranty information upon completion.
Aftercare
We provide aftercare advice and support on request to help you keep your installation in the best condition. Any aftercare-specific maintenance work (e.g. annual cleaning, re-sealing) is provided as a separate service and quoted accordingly.
Variations During the Project
If you request changes to the agreed scope during the project, we will:
- Confirm the impact on cost and timeline in writing
- Only proceed once you have agreed in writing
Verbal variations are not binding until confirmed in writing.
Access and Customer Obligations
You agree to:
- Provide reasonable access to the property during agreed working hours
- Ensure the work area is reasonably cleared of personal belongings before we arrive
- Arrange for pets to be kept away from the work area for safety
- Inform us of any underground utilities, drainage, or other relevant site information
- Obtain any necessary planning permissions or party wall agreements (we can advise but do not handle applications on your behalf)
Liability
We carry public liability insurance for all our work. Our liability to you is limited to the value of the contract for the project in question, except where liability cannot be limited by law (e.g. for death or personal injury caused by our negligence).
We are not liable for:
- Indirect or consequential losses
- Loss of profit or business interruption
- Damage caused by factors outside our reasonable control (see Force Majeure)
Force Majeure
We are not responsible for delays or failure to perform our obligations due to circumstances beyond our reasonable control — including severe weather, natural disasters, pandemics, government restrictions, or supplier failure. In such cases, we will notify you and reschedule as soon as reasonably possible.

Governing Law
These Terms and Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
